Job Summary:
Provide support with regard to developing and maintaining contacts and relationships with assigned existing and prospective clients.
Assist in maintaining departmental effectiveness by efficiently performing a variety of administrative and clerical duties for the Headquarters, Client Solution Departments and Branch Office.
Essential Job Functions:
  • Develop and maintain contacts and relationship with producers/clients which are assigned by the Branch Manager in collaboration with TMA Account Executive Officers (AEOs).
  • Support AEOs in coordinating accounts and reviewing new business and follow-up renewals.
  • Research new business using the internet and various resources as directed by AEOs
  • Prepare presentation materials, including PowerPoint presentations under the direction of AEOs.
  • Coordinate with TMA departments to respond to requests and/or resolve problems/complaints received from brokers and customers.
Analyze and summarize various types of data. Prepare reports as scheduled or requested using various data systems such as Cognos, TED, My TMM, Taurus, etc. Reports include but are not limited to: new market opportunities, monthly branch report, list of bookings by account, broker, etc.Propose and create new reports in order to more efficiently analyze business needs.
Check and monitor booking data, such as coding, group-synergy reinsurance, etc., and coordinate with other departments to make necessary corrections.Review requests and issue certificates of insurance, Cancellation Clause, and/or Vendor's Endorsement accordingly. Coordinate with brokers/customers and Headquarters for special requests.Review loss run check list and e-mail list for monthly loss run distribution.Prepare and maintain workflows of new programs. Communicate to other departments as necessary.
Assist Branch Manager and department with various arrangements including but not limited to, travel and meetings.Arrange hospitable arrangements for visitors as needed.Provide support for Japanese clientele which includes (but not limited to) various duties such as responding to inquiries and providing instructions relating to policies/underwriting matters.Review and assist in the preparation of the Administrative and Departmental Budgets.Prepare check requisitions for payment and process expense reports for Branch Manager and AEOs.Coordinate with the TMNAS Facilities Department for office and administrative matters. Coordinate with vendors as needed.
Responsible for complying with proper internal controls as necessary to conduct job functions and/or carry out responsibilities and/or administrative activities at Company.
Other Functions:
  • Perform other duties as may be assigned.
  • Perform overtime as required.
  • Regular and reliable attendance.
  • College Degree preferred.
  • Bilingual and ability to read, write and speak English and Japanese (strongly preferred).
  • Two-years experience working in a marketing assistant/support or customer-service role required. Three or more years, preferred.
  • Strong, effective communication and organizational skills
  • Advanced skills in Adobe Acrobat and Microsoft Office Suite, specifically Word, Excel and PowerPoint Preferred.
  • Producer license highly preferred.
  • CPCU preferred.
